If you signed up earlier, refer to the existing ITAM documentation.This article provides instructions on how to import individual parts into your inventory using the spreadsheet import tool. It covers mapping parts to existing models and capturing unique identifiers like serial numbers.
It is important to distinguish between a part and a part model:
Part models: Act as the template or blueprint (for example, "Dell 2TB HDD").
Parts: Represent the physical units in your warehouse (for example, the specific Dell 2TB HDD with serial number SN-12345).
While the part models import only creates templates, the parts import can create both models and individual units. To add parts to an existing part model, you must use the unique part model ID.
Prerequisites
You need the following before importing part records:
Access to the IT Asset Management module in your Freshservice instance.
Administrator privileges or specific permissions to import part records.
Download model IDs and the import template
To add parts to existing models, you first need to identify the correct IDs for those models. To do so, follow these steps:
Go to IT Asset Management > Inventory > Part Models.
Select the all the part model records and click Export selected items.
Open the exported sheet and locate the partmodel_id column for the models you want to update. Keep this file open for reference.
Go to IT Asset Management > Inventory > Part
On the Parts page, click the More Options (three vertical dots) icon and select Import.
In the Import Parts window, click Download under the Sample file step to save the import template to your system.
Populate and import the spreadsheet
Open the sample import template.
Add a column titled partmodel_id and enter the IDs from your previously exported data.
Add the hardware details:
For items with serial numbers: Create a unique line item for every individual part (for example, four separate rows for four hard drives) to track their specific serial numbers.
For bulk items (non-serialized): Create a single line item per location to track the total count (for example, one row for all 4GB RAM modules in "Room A").
Save the file in .xls or .xlsx format.
Go to the Import Parts window, click Attach file under the Upload your CSV step, select your populated spreadsheet, and click Import.
Verify import results
After the import, the system displays a status message. Review any "not added" errors to identify missing required fields or incorrect IDs.
To view the new parts, go to IT Asset Management > Inventory > Parts.
For serialized items, you will see each part listed as a unique line item with its assigned serial number. For non-serialized items, you will see the parts grouped by their assignment (such as a room or cabinet) with the total quantity reflected.
Note: When importing parts, ensure that the partmodel_id exactly matches the ID from your system export. If the ID is incorrect, the system may create a new part model instead of assigning the part to the existing one.
