Add device URLs and attachments

You can store specialized data such as external documentation links, BIOS specifications, and physical file attachments. By using dynamic variables in the Device URLs section, you can create automated links to external management consoles or support portals.

Additionally, you can track PDU port assignments directly from a device’s page.

This article provides an overview of managing supplementary device data, including file attachments and dynamic URLs.

Prerequisites

You need the following before managing additional device data:

  • Access to the IT Asset Management module in your Freshservice instance.

  • Administrator privileges to create and edit device URLs or upload attachments.

  • Existing power unit records to view associated PDU ports.

  • An existing device record created.

Add device URLs

Device URLs allow you to link external resources to a device using dynamic variables.

To associate external links with a device, follow these steps:

  1. Go to the device record and click Edit.

  2. In the Device URLs section, click + Add new.

  3. In the Type dropdown menu, select the URL type (such as HTTP or FTP).

  4. In the Host field, enter the URL. You can use the following variables to automate the link:

    • {{device.name}}: Inserts the device name.

    • {{device.serial_no}}: Inserts the device serial number.

    • {{device.asset_no}}: Inserts the device asset number.

Using variables ensures that links remain accurate even if you clone a device or update its serial number.

  1. Enter additional details such as the port, URL suffix, or notes.

  2. Click Update.

Manage file attachments

To associate documents or images with a device, follow these steps:

  1. Go to the device record page.

  2. In the Information tab, select the File Attachments section.

  3. Click + Add new and select Upload file.

  4. (Optional) Enter a Description for the uploaded file.

  5. Click Update.

All associated files are listed in this section for future access.

View PDU port details

To associate a port with a device, follow these steps:

  1. Go to the specific device record page.

  2. In the Information tab, locate the Ports section.

  3. Perform one of the following:

    • Click + Add new to create and define new port details.

    • Click + Add existing to associate a previously configured port with this device.

  4. Enter the relevant information and click Update to save your changes.
