After configuring the Initiator form, you must add stakeholders who are part of this journey so that you can assign tasks to them. As you complete configuring the initiator form, under Manage stakeholders, the Initiator is automatically added as a stakeholder to whom you can assign tasks. 


Note: You can edit or delete stakeholders as described in the sections below. However, depending on the journey type, certain stakeholders, such as the Initiator or New Hire can only be edited but not deleted.


Add Stakeholders

Based on the fields (an email address or a drop-down) added in the initiator configuration, you can create other stakeholders by performing the following steps:

  1. In the Manage stakeholders panel, click Add Stakeholders, as shown below.

  2. In the panel that appears, provide a title for the stakeholder, such as Reporting Manager. Note that the title must be unique within the journey.

  3. Under Source for stakeholder’s contact details, select one of the following options:

    1. Any form in this journey – Choose this option to use fields from any form configured in the journey, either the Initiator Form or forms used in activities–to define stakeholders.

    2. Another stakeholder’s profile in Freshservice – Select this option to use an existing stakeholder profile already available in your Freshservice instance.

    3. After selecting the required fields, click Add Stakeholders to complete the process.


Edit Stakeholders

To edit a stakeholder, perform the following steps:

  1. On the stakeholder card, click the three-dot menu and select Edit.


  2. In the edit screen that appears, you can do the following:

    • Edit the stakeholder title as needed.

    • Remove a linked profile field by clicking the minus (–) icon under Any form in this journey, as shown in the image below. Then, use the + Select form field option to link a different field from the Initiator Form or activity forms.

    • Use an existing stakeholder profile by selecting Another stakeholder’s profile in Freshservice using the radio button, and then adding the stakeholder accordingly.

  3. After making the required modifications, click Update to complete the editing process.

Delete Stakeholders

You can delete a stakeholder only if it is not referenced anywhere in the journeyTo do so, click the three-dot menu on the stakeholder card, select Delete, and confirm the action in the confirmation dialog box, as shown in the image below.
