Analytics module in Freshservice allows you to generate intuitive reports for your service desk. Integrating Tableau with Freshservice enables you to scale up your analytics with extensive dashboards and reports to drive business outcomes using actionable insights. 

How to Schedule an Export on Freshservice’s Analytics

In order to schedule a data export, 

  • Log into your Freshservice account and click on Analytics from the left sidebar. 

  • Inside Analytics, click on the settings icon  on the top right corner and select Data Exports.
  • Click on the Create Export option present on the top right corner to schedule a data export.

  • Add the export name and the module name. Let’s say you wish to schedule a data export for the Changes module. Select changes from Module Name.

  • Choose the scheduling interval. It can be hourlydailyweekly, or monthly.

  • Use the view and the Basic filter option to filter the data you wish to export.

  • You can choose the fields that have to be exported.

  • Select whether you want the export as an email or as an API link. The API URL will hold the link to the export file. Feeding the API URL into your BI tool will allow it to automatically fetch data from Freshservice. 

  • Once done, click Save



How to Integrate Tableau with Freshservice Analytics


Step 1: From Freshservice’s Analytics module, copy the API URL which holds the link to export the file. 


Step 2: Log in to your Tableau Desktop and click on Web Data Connector. Paste the Web Data Connector URL : https://fsbots.freshservice.com/tableau_bridge 




Step 3: Enter your FS User’s API key in the User name field (leave the password empty), paste the Freshservice Data Export API URL in the URL field and click on Submit.




Step 4 : You will now receive your Freshservice data export file. You can use this file as your data source to build reports in Tableau Desktop. 





Step 5 : If you wish to refresh your Freshservice data in Tableau, you will have to publish this data source to your Tableau Online instance. To do so, click on Server -> Publish to Server -> Select your Tableau Online Instance. 




Step 6 : Provide the project name, title & description of the data source. Under authentication -> select ‘embedded password’ and click Publish. 


 

The data source is now published to your Tableau Online instance. 


Step 7: Log into your Tableau Online instance and select the Data source. (Explore → Select Project -> Select Data source) 




Step 8: Click on New Workbook.


Step 9: Drag and Drop the fields to create visualizations of your Freshservice Data.  





Schedule Refresh for your Data Source on Tableau 


Step 1: Log into your Tableau Online instance and select the Data Source that you would like to schedule refreshes for. Click on Extract Refreshes -> New Extract Refresh. 


Step 2: In the Schedule an Extract Refresh dialogue box, select Bridge (Legacy).  


Step 3: Choose the computer on which your Bridge client is installed,  Configure the refresh frequency and click on Refresh Schedule.
