Summary

Freshservice offers two types of calendars for your use. First, the work calendar, and second, the on-call calendar. In this article learn how to make the best use of this calendar.

Note: Note: In the on-call calendar, the shift events are adjusted to be in user's system time zone i.e. device time zone. While shift events, via API or shift preview page (accessed via on-call schedules admin settings) is in the timezone chosen for the shift. 


Access the on-call calendar

The on-call calendar can be accessed from any page in the tool. Just click on the My Work tab on the top right. You’ll see two options i.e. Work Calendar and On-Call Calendar. 


If you select On-Call Calendar, you will land on the agent view for yourself across all shifts for the week. 



You can also access the calendar from the on-call schedules list page. Here, calendars are listed for each of the on-call schedules listed. When you make a selection, you will land on the on-call calendar for that particular schedule. In this example, we select ‘Santa’s first schedule’. Hence, we get to view the on-call calendar of the agent group associated with this schedule i.e. ‘Elves at work’. 



 


Switch views based on time duration

While the default view is based on Weekly time duration, you can also switch between Day and Month. 





Switch views using additional filters

The filters available at the top of the page can help you drill down to the information you need quickly.


Shift filter: While the default view shows the calendar across all shifts, you can also select to view the calendar for particular shifts.




Agent group filter: You can use the filters available to view calendars for different agent groups. 




Agent filter: You can also view the calendar for a particular agent, and then use the dropdown to see the calendar for particular agents.




Check who’s on-call now

Click on Check who’s on-call now on the top right to quickly find out who’s on call at that moment across the primary, secondary, and tertiary rosters. 





Export an on-call calendar

Click on Export to select the timeline for which you want to export the calendar. Select the dates. You will receive the calendar over email.
