Managing your time on the service desk is critical for running your service desk efficiently. Generating reports on the various aspects of the service desk has been cited as one of the major pain points for users and Freshservice aims to solve it for you.


You can now automate the entire process by scheduling any custom reports for Assets and Changes to be run at specified times, periodically, and have it emailed either to you, your requestors or other agents.


With the Report Scheduler, a maximum of one schedule can be created per report for each agent. To create a schedule for a custom report, go to the Reports tab and select any custom report under Changes or Assets that you wish to automate. To create your own custom report, click on New Report.


Creating a new schedule



To set a schedule, open any custom report of your choice, and click on the Calendar icon next to the report title.





Next, enter all the necessary information required to create a schedule.  Let’s take a look at the various sections that have to be specified.




Frequency: Specify how often i.e. Daily, Weekly or Monthly and at what time the reports must be generated.


Email: Enter the email addresses to which the report must be sent. You could email it to either yourself, your requestors, your agents or any other third-party recipient.


Subject & Description: Enter the subject and a short description of the email that is sent with the report.


Report Format: You can choose to receive the report in the PDF or XLS formats.


Finally, hit Save to finish. The calendar icon will turn Green in colour indicating that a schedule has been activated for the report. 





Editing or Deleting an existing schedule


You can always edit or delete an existing schedule that is associated with a report. 


To edit a schedule, click on the Calendar icon, make the required changes and hit Save again to update the schedule.


To delete a schedule, click on the Calendar icon and click on the Delete Schedule button in the screen that follows.



And that’s it. The scheduled reports will now get generated automatically at the chosen date and time and will be sent to the specified email addresses.
